A- Tax Preparation:
Everest Tax Pro - Your fiscal support
A- Tax Preparation:
🤔 Can I do my tax preparation remotely or in person?
Yes. At Everest Tax Pro we offer both options, but in either case the use of our secure client portal is required:
Remote: The entire process is handled through the portal. There you will receive the Engagement Letter, the initial questionnaire, and instructions to upload your documents in an encrypted and secure way.
In-person: If you prefer to come to the office, you must still use the portal. All information and documents must be uploaded at least 5 days before your appointment. This ensures your consultation is efficient and productive.
For both options:
The portal allows you to ask additional questions directly from your account.
We may request extra documentation if your situation requires it.
Interviews are conducted either by phone or in person, according to your preference. ✅
🤔 How do I securely send my tax documents?
At Everest Tax Pro, we do not ask you to send documents by email. To protect your information, you will receive an invitation to our Secure Client Portal by email.
With your email address and a password you create, you will have access to:
Engagement Letter
Interview Questionnaire
Instructions for uploading documents
You will be able to upload all required files listed in the checklist. Once your documents are successfully uploaded, you will receive an email confirmation.
👉 Recommendation: All photos must be clear and legible. If using your phone, make sure you have good lighting and that all four corners of the document are visible.
🤔 Who is responsible for the information in my tax return?
However, it is important for you to know that the final responsibility for the information rests with you as the taxpayer. By signing your tax return, you do so under penalty of perjury, declaring that all the information provided is true, correct, and complete to the best of your knowledge and belief.
We, as authorized preparers, sign our section of the return, taking responsibility for preparing it in compliance with the law, but not for the accuracy of the data provided by you.
🤔 Do you e-file my tax return with the IRS? How do I know you are not a “ghost preparer”?
Yes. At Everest Tax Pro we file your tax return with the IRS through authorized e-file, ensuring speed, security, and confirmation of receipt.
In addition, as registered tax preparers:
We sign every return we prepare.
We include our Preparer Tax Identification Number (PTIN) on every submission.
We comply with IRS regulations and professional ethical standards.
This way, we protect you from the illegal practices of so-called “ghost preparers,” who fail to sign returns and put taxpayers at risk.
🤔 How does the payment process for tax preparation work?
At Everest Tax Pro, the payment process is completed in two stages:
Initial retainer:
Once you complete the Engagement Letter and the initial questionnaire in the secure portal, you will need to make a fixed retainer payment before we begin working on your case. This retainer does not represent the full cost of the service, but it guarantees your spot and the start of the process.
Final payment:
Once our work is finished and before we electronically file (e-file) your tax return with the IRS, you must pay the remaining balance.
The total cost of the service depends on the complexity of your tax situation and the number of forms required. Each client is unique, and the final fee is determined according to the specific case.
👉 For your reference, you will have access to a form price list to help you better estimate the approximate cost of your return.
Note: this list is for reference only, as it does not include all possible forms or fees.
🤔 Do you only help during tax season, or also afterwards?
At Everest Tax Pro, our commitment to clients does not end when tax season is over.
We support you throughout the year to:
Answer questions related to your taxes.
Guide you through changes in your financial or family situation.
Help you plan ahead for the next tax return.
Provide assistance if you receive letters or notices from the IRS or state authorities.
Our goal is to be “Tu respaldo fiscal” — your tax support — at every stage, not just during tax season.
B- Bookkeeping Services:
🤔 What does the bookkeeping service include?
Our bookkeeping service covers the monthly organization of income and expenses, bank reconciliations, transaction categorization, and basic financial reports (Balance Sheet and Profit & Loss Statement).
🤔 How often is bookkeeping done?
Bookkeeping is generally performed on a monthly basis, although it can also be done quarterly depending on your needs. The best practice is to keep your books up to date to avoid delays when it’s time to file taxes.
🤔 Do I need to have an accounting system in place for you to manage my bookkeeping?
Not necessarily. If you don’t already have a system, at Everest Tax Pro we can set one up for you, and you’ll receive regular reports with all the information you need to manage your business.
If you’re already using a cloud-based accounting platform, we’ll need secure access to keep your records up to date.
🤔 What happens if my bookkeeping is behind or has errors?
At Everest Tax Pro, we offer a bookkeeping clean-up service for clients whose records are delayed, incomplete, or contain errors.
Our team reviews, corrects, and organizes your transactions so that your financial statements accurately reflect the reality of your business.
🤔 What documents do I need to send you every month for my bookkeeping?
Documents you need to provide each month:
Bank statements.
Business credit card statements.
Relevant invoices.
Asset purchase documents.
Loan documents.
Any other supporting documentation.
🤔 Can I use the bookkeeping service to track how my business is doing throughout the year?
Yes. One of the main benefits of bookkeeping is that you’ll have clear financial reports to make decisions, measure profitability, prepare for loans, and plan taxes in advance.
🤔 Does bookkeeping service replace a tax preparer?
No. Bookkeeping organizes your financial information on a regular basis, but tax preparation is a separate service. Keeping clear books helps streamline the process and reduce the risk of errors; however, business tax returns require additional analysis and are priced according to their complexity and the forms involved.
C- Business Formation :
🤔 Does Everest Tax Pro help me with business formation and initial requirements?
Yes. We assist you with:
Entity structure and registration (LLC/Corp, fictitious name/DBA).
EIN application with the IRS.
State registrations (e.g., Florida Dept. of Revenue for Sales/Use Tax, Reemployment Tax if applicable).
Basic bookkeeping and tax setup (books, P&L/Balance, compliance calendar).
Initial guidance on payroll, sales tax, and ITIN (if applicable).
⚠️ Important: Everest Tax Pro does not handle municipal or county licenses/permits (e.g., Local Business Tax Receipt, certificates of use/occupancy, zoning permits).
The client is responsible for obtaining these permits directly from the city/county as required by local regulations. These permits are often a legal requirement to operate.
💡 Suggestion: Before opening or signing a commercial lease, confirm zoning, occupancy, and BTR requirements with your city or county.
D- Other Services:
🤔 Do you handle employee payroll?
Yes. We provide payroll services including payroll calculations, issuing checks or direct deposits, and filing quarterly and annual forms (941, 940, W-2, W-3).
🤔 What do I need to get started with payroll services?
You only need to provide us with your employees’ basic information (Forms W-4, I-9, and payment details), and we will set up the entire payroll system.
📌 Important:
If the service begins at the start of the year, we only need the current information for each employee.
If the service begins mid–tax year, you must provide a summary per employee of wages paid and withholdings made to date. This ensures that quarterly and annual IRS reports (941, 940, W-2, W-3) are complete and accurate.
🤔 Can you help me with Sales Tax?
Yes. We prepare and file Florida Sales Tax returns according to the frequency assigned by the Department of Revenue (monthly, quarterly, or annually).
🤔 What do I need to provide for Sales Tax?
You must provide your sales records and reports from your system or POS (point of sale). With that information, we calculate and file your return.
🤔 Can I apply for a Workers’ Compensation (WC) exemption in Florida?
Yes. We assist you with the preparation and filing of the Workers’ Compensation (WC) exemption request, applicable to certain business owners or corporations who meet the legal requirements in Florida.
🤔Do you help me obtain an ITIN?
Yes. As a Certified Acceptance Agent (CAA), we can help you process your ITIN (Individual Taxpayer Identification Number) directly with the IRS.
🤔 What documents do I need for an ITIN?
To apply for your ITIN, you must provide original identification documents or certified copies issued by the issuing agency (simple copies are not accepted).
👉 The most common documents accepted by the IRS include:
Passport (primary document, can be used alone if valid).
National identification card (must show name, photo, address, and date of birth).
U.S. driver’s license.
Foreign driver’s license.
U.S. state identification card.
Birth certificate (especially for minor dependents).
U.S. visa.
U.S. military identification card.
Foreign military identification card.
Medical record (only for dependents under 6 years old).
School record (dependents under 18 years old if they are students).
📌 Important note:
Original passports are the most commonly used and recommended document.
All documents must be valid (not expired).
At Everest Tax Pro, as a Certified Acceptance Agent (CAA), we verify your documents in person and return them immediately, without the need to mail them to the IRS.
🤔 Is an ITIN for dependents always approved?
Not necessarily. The IRS only approves an ITIN application when the dependent has an actual impact on the taxpayer’s return.
👉 This means the dependent must generate a valid tax benefit, such as:
Child Tax Credit (CTC)
Additional Child Tax Credit (ACTC)
Another credit allowed under current law
📌 Important: If the dependent does not change the outcome of the tax return and provides no tax benefit, the IRS may reject the ITIN application.
At Everest Tax Pro, we carefully review each case according to IRS regulations to avoid unnecessary or rejected applications.
